Handling Break Deductions

Labor laws regarding breaks are strict, and accurately deducting them is the hardest part of timesheet math:

  • Unpaid Lunches: A standard 30 or 60-minute meal break is usually unpaid. The calculator allows you to either enter the exact 'Lunch Out / Lunch In' times, or simply deduct a flat 30 minutes from the daily total.
  • Paid Rest Breaks: Short 10 or 15-minute rest breaks mandated by state law (like in California) are legally required to be paid time. Do not deduct these breaks from the total hours worked.
  • Decimal Conversion: Payroll systems don't process hours and minutes (e.g., 8 hours 15 minutes). They process decimals (e.g., 8.25 hours). Our tool automatically outputs the final total in the decimal format required for payroll processing.

Frequently Asked Questions

How do you calculate military time (24-hour format)?

The calculator accepts both AM/PM and 24-hour formats. If working in military time, a clock-out at 5:00 PM is entered as 17:00, making the math (17 - 9 = 8 hours) much simpler.

What if an employee works an overnight shift?

If an employee clocks in at 10:00 PM and clocks out at 6:00 AM the next day, the calculator's logic recognizes the day-crossover and correctly calculates the 8-hour duration.

Can I print the final timesheet?

Yes, once you have entered the data for the full week, you can use your browser's print function to save the timesheet as a PDF or print it for HR records.
